Invoices & Receipts¶
This guide explains how to view and download your invoices and receipts in Patcherly. Invoices and receipts are provided by Stripe—you can view and download them from the dashboard or from the links Stripe sends by email.
Where to Find Invoices¶
- Log in to your Patcherly dashboard
- Open Profile from the user menu in the top bar (click your name or avatar)
- Click the Billing tab
- In Payment history, you'll see a list of invoices with View and PDF links
These links open Stripe-hosted pages. Receipts are also sent by Stripe to your email when a payment succeeds (enable "Successful payments" in your Stripe Customer email settings if needed).
What are Invoices?¶
Invoices are official documents that record:
- Subscription charges
- Plan upgrades/downgrades
- One-time payments
- Tax information
- Payment status
Viewing Invoices¶
Step 1: Access Profile → Billing¶
- Log in to your Patcherly dashboard
- Go to Profile → Billing tab
- Scroll to Payment history
Step 2: View Invoice List¶
You'll see a list of your invoices with:
- Date: Date the invoice was issued
- Number: Invoice number or ID
- Amount: Total amount charged
- Status: Paid, Pending, or Failed
- View / PDF: Links to Stripe-hosted invoice and PDF
Step 3: View or Download¶
- Click View to open the invoice in your browser (Stripe-hosted page)
- Click PDF to download the invoice PDF (Stripe-hosted)
Invoice Information¶
Each invoice includes:
- Invoice number: a unique identifier (for example
INV-2024-001234). - Issue date: when the invoice was created.
- Due date: when the payment is due (usually the same as the issue date for automatic payments).
- Billing period: start and end dates for the subscription period.
- Plan details: your subscription plan and what it includes.
- Billing address: your registered billing address.
- Payment method: a partial reference to the card on file (e.g. last 4 digits).
- Tax information: tax amount and rate, if applicable.
- Total amount: the final amount charged.
Payment Status¶
Paid¶
- Payment was successfully processed
- Invoice is marked as paid
- Receipt is available for download
Pending¶
- Payment is being processed
- Usually resolves within a few minutes
- Check back later if status doesn't update
Failed¶
- Payment could not be processed
- Update your payment method
- Contact support if issues persist
Receipts¶
Stripe automatically sends email receipts when a payment succeeds (if enabled in Stripe). You can also access receipts and invoices from Profile → Billing → Payment history via the View and PDF links.
Tax Information¶
Tax Calculation¶
Tax is calculated based on:
- Your billing address
- Local tax regulations
- Your subscription plan
Tax-Exempt Organizations¶
If you're a tax-exempt organization:
- Contact our support team
- Provide your tax-exempt certificate
- We'll update your account to exclude tax
VAT (Value Added Tax)¶
For EU customers:
- VAT is included in the price
- VAT number can be added to your account
- Invoice will show VAT breakdown
Invoice Frequency¶
Monthly Subscriptions¶
- Invoices are generated monthly
- On the same day each month
- Based on your subscription start date
Annual Subscriptions¶
- Invoices are generated annually
- On the anniversary of your subscription
- Includes discount for annual billing
Exporting Invoice Data¶
You can download each invoice as PDF from Profile → Billing → Payment history. For bulk export or CSV, use the Stripe Customer Portal (open Manage billing in the Billing tab) or contact support.
Invoice Notifications¶
Email Notifications¶
You'll receive email notifications for:
- New invoice generated
- Payment successful
- Payment failed
- Invoice ready for download
Notification Settings¶
Stripe sends payment and invoice emails when enabled. You can also check Profile → Billing for payment history anytime.
Troubleshooting¶
Invoice Not Showing¶
- Check Date Range: Invoices are listed chronologically
- Refresh Page: Try refreshing the page
- Check Filters: Ensure no filters are applied
- Contact Support: If invoice is missing, contact support
Cannot Download Invoice¶
- Check Browser: Some browsers block downloads
- Check Permissions: Ensure you have download permissions
- Try Different Format: Try PDF or email option
- Contact Support: If issues persist
Incorrect Invoice Amount¶
- Check Plan: Verify your current plan matches the invoice
- Check Date Range: Ensure billing period is correct
- Check Discounts: Verify any discounts are applied
- Contact Support: If amount is incorrect, contact support immediately
Missing Receipt¶
- Check Payment Status: Receipts are only available for paid invoices
- Wait for Processing: Payment may still be processing
- Check Email: Receipt may have been emailed
- Contact Support: If receipt is missing
Importing invoices into accounting software¶
Patcherly does not push invoices to accounting tools directly. The most common path is:
- Export your invoice data from the Stripe Customer Portal (open Manage billing in Profile → Billing to reach it).
- Save the file as CSV so your accounting tool can read it.
- Import the CSV into QuickBooks, Xero, or another tool that accepts CSV files.
